Waste & Sustainability Intelligence for
Commercial Property Teams
The Circular
Bi-Monthly Intelligence for Commercial Property Teams
Edition 06-23
This Edition: The Work Your Property Manager Doesn't Have Time to Do Every Month
Property, facility, and asset managers are stretched. Most carry portfolios of 10, 15, sometimes more properties, each with its own vendor relationships, tenant issues, maintenance queue, and reporting cycle. Waste is one line item in a very long list. This edition is about what happens to that line item every month it doesn't get the attention it requires, and what we do about it on behalf of our clients.

The Work That Doesn't Get Done Is Still Getting Billed

Waste invoices arrive every month. They get approved. The charges clear. And unless someone is reviewing each line item against the actual service log, the errors, the overages, and the unchallenged fees carry forward indefinitely.

This is not a criticism of how properties are managed. It is a structural reality. A property or facility manager responsible for 10 to 15 properties does not have 13 to 15 hours available per property, per month, to audit invoices, review photo evidence of alleged recycling contamination, follow up with the hauler until credits are confirmed, and build a monthly report. The bandwidth does not exist, and the role was never designed for it.

"The invoices were getting paid every month. It took an outside review to show us what 18 months of uncontested overages actually looked like on a spreadsheet."

The problem compounds. Every month the review doesn't happen, another cycle of charges clears without challenge. Recycling overages, container exchange fees, environmental surcharge creep, billing errors with no corresponding service event. Individually small. Cumulatively significant.

This is the work we do monthly, across every property on our roster, as a dedicated outside expert. The property team keeps the relationship. We keep the hauler accountable.

And that's the recurring work
Special Projects Don't Wait for the Calendar to Clear

Multi-tenant commercial properties run on a recurring base, but the calendar consistently adds to it. These are the items that compete directly with monthly waste oversight, and they don't carry lower priority:

•  CAM reconciliation
•  Tenant buildouts and construction coordination
•  Vendor rebids and contract renewals
•  Capital improvement projects
•  Ownership audits and due diligence requests
•  Sustainability certifications (LEED, ENERGY STAR)
•  New tenant onboarding
•  Roof, HVAC, and parking lot capital cycles

When one of these hits, something on the recurring list gets deferred. Waste oversight is usually the first to go, because the invoices still get paid either way. The charges just go unchallenged.

The Bottom Line
The Hours Aren't There. The Charges Keep Coming.
We work on a focused set of properties as a dedicated outside resource. The property team keeps the relationship and stays out of the weeds. We handle the invoice audit, the overage disputes, the hauler follow-up, and the monthly report. Every month, without exception. That consistency is the value. When this work gets done the same way every cycle, the savings accumulate and the hauler knows it.
