This Edition: Fix the Waste Line Item Before You Build the 2027 Budget

Most property teams already know if the waste and recycling line item is running over this year. This edition of The Circular covers the two ways we help control that line item every month: right-sizing every container based on real usage, and monthly oversight that catches the overage and contamination charges nobody budgeted for.

Before You Build Next Year's Budget
1
Pull the Last Three Months of Invoices
Look at actual base cost, not the number the budget assumed in January. If the line item is running over, three months of invoices will show you why.
2
Audit Every Container Against Actual Usage
Weight, frequency, and fill level tell you whether a compactor or bin was sized for the property that exists today, or the one that existed at lease-up.
3
Total Up the Overage and Contamination Charges
These rarely show up as one line. Add them across every invoice this year and most teams are surprised by the number.
4
Fix It Before You Copy the Baseline Forward
A 2027 budget built off an inflated 2026 number just carries the problem forward. Correct the line item first, then set next year's target.

1. 360 Waste Diversion Analysis
Right-Size Every Container at the Property

We audit every container at the property, every enclosure, compactor, and open top box, and measure actual usage, weight, and service frequency. Not what the contract assumed at lease-up. What's happening today. That data drives the right-size: correcting containers that are over-serviced and half full on pickup day, and correcting the ones that are already overflowing before the truck arrives.

Once implemented, we don't walk away. Monthly oversight keeps the new sizing in place, watches for hauler service creep, and confirms the change still works for tenants and guests at the property.

2. Monthly Oversight Services & Invoice Tracking
Catch the Charges Before They Compound

Every month we deliver a report built from full invoice analysis: savings identified, issues flagged, and a rolling view of monthly expense against baseline. This is where we focus on reducing, minimizing, and correcting waste overages and recycling contamination fees, the charges that rarely get budgeted because they rarely get flagged early enough.

Marginal or borderline charges get challenged with the hauler before they're accepted. Clearly documented charges get paid and tracked, so they stop being a surprise the next time they show up. No multi-tenant retail or mixed-use property hits 100% compliance, but continuous tracking keeps the expense controlled instead of compounding.

"You can't budget accurately around a container nobody has actually measured." — Patrick Truninger, Green360 Partners

What a Mid-Year Correction Actually Looks Like

On a recent right-sizing review, three containers at one property were still being serviced on a schedule set when the center opened, years before the current tenant mix. Two were over-serviced and half full on pickup day. One was significantly under-serviced and overflowing weekly.

After right-sizing, the corrected line item moved from a double-digit overrun through mid-year to on-budget within two billing cycles. No new hauler, no new contract, just containers matched to actual use.

Separately, the same account had accumulated several thousand dollars in overage and contamination charges since January that had never been challenged. About half were credited back once we requested documentation from the hauler.

Neither fix waited for a new budget cycle. Both happened inside the current one. Correcting the number now changes what gets carried into 2027.
