This Edition: Waste Overages, the Unnecessary Cost Hiding in Your Invoice

Overage charges rarely announce themselves. They show up as one more line on a hauler invoice, and most property teams pay them without asking what backs them up. This edition of The Circular breaks down what actually causes an overage, what we require before accepting one, and how container sizing quietly drives the whole problem in the first place.

Before You Pay the Next Overage Fee
1
Request the Evidence
Every overage charge should come with photo or timestamp proof the container was full or overflowing. No photo, no charge, until it's verified.
2
Match Frequency to Volume
If overages hit the same container three or four times a quarter, the service frequency is probably wrong. That's not a tenant problem, it's a scheduling one.
3
Check the Container Size
A compactor or bin that was undersized at installation will keep generating overage charges no matter how well tenants manage waste. Confirm the container actually fits the volume.
4
Track It by Property, Not Just by Invoice
One overage is a data point. A pattern across three billing cycles is a signal. Keep a running log so you catch it before it becomes routine.
Overage Review
The Overage Charge Nobody Verifies

An overage charge means a hauler picked up more material than the container was rated to hold, or serviced a container that was already overflowing. Sometimes that's exactly what happened. A busy retail week, a holiday push, a tenant move-out that dumped extra volume into the compactor. Sometimes it's something else. A truck that ran the route early. A container that was measured wrong when it was installed. A charge applied without anyone actually checking the enclosure that day.

We require photo or video evidence on every overage before we accept the charge. If a hauler can't produce it, we request a credit. If the evidence holds up, we look at why the overage happened in the first place. Sometimes the service frequency no longer matches the property's volume. Sometimes one tenant is generating more waste than everyone assumed. Either way, the fix sits upstream of the invoice, not on it. Paying the fee and moving on is the expensive option.

"An overage charge without a photo is a guess with a price tag." — Patrick Truninger, Green360 Partners

Three Properties, Same Overage Pattern

This month we're requesting overage documentation across three separate properties from two different haulers. In each case, a proposal or invoice line treated the overage as straightforward. In each case, we asked for photos before agreeing to anything, service increase or fee.

At one property, a hauler proposed jumping trash and recycling service from three days a week to five, based on an overage pattern. Before we sign off on a permanent frequency increase, we want to see the enclosure and confirm the container actually fits the volume. Adding pickups is an easy fix to propose. It's not always the right one.

Year to date, we've reviewed more than 530 overage and contamination incidents across our active accounts. Close to 400 of those were flagged as marginal or borderline enough to challenge with the hauler. That challenge activity has recovered more than $20,800 in credits for clients so far this year.

Some incidents are qualified. No getting around that. A busy retail center or a multi-tenant building isn't going to hit 100% compliance, tenants generate real overages and containers get genuinely overfilled. But a meaningful share of what haulers bill isn't clear cut, and those are the ones worth challenging.
