The Circular
Waste & Sustainability Intelligence for Commercial Property Teams
Edition 09-26
This Edition: We Don't Just Have an Account Rep. We Have the Relationship.

The Circular now comes out monthly, with what we're actually seeing on client properties. This edition is about hauler relationships. Not the name on your invoice, but who we actually know at that hauler, in your market, and why that gets requests answered faster than a general line ever will.

What Real Hauler Access Actually Looks Like
1
We Track Every Hauler by Market, Not by Logo
A national hauler's rules can differ city to city depending on the franchise agreement. We track that at the market level, not just the company level, so we know what's actually negotiable at your address.
2
We Skip the General Line
Overage disputes, schedule changes, and equipment requests each go to a different desk. Calling the wrong one costs weeks. We know which desk owns which request at each hauler we work with.
3
We Know the Franchise Rules Before You Call
Some markets run on open competition. Others run on exclusive city or county franchise agreements with their own rate structures and dispute processes. We know which one applies before we make the first call.
4
The Same Playbook Works on a National or a Regional Hauler
Whether it's Waste Management in Ohio or a two-truck regional hauler in the Central Coast, the approach is the same: know the market, know the contact, ask the right desk the right way.
?
When you have a hauler problem today, do you know who to call, or do you call the number on the invoice and wait? Tell us your market and your hauler. We likely already know both.
1. 360 Waste Diversion Analysis
Every Market Has Its Own Haulers, and Its Own Rules

Waste Management and Republic Services cover a lot of ground nationally, but most portfolios don't run on the nationals alone. Burrtec runs the Inland Empire and Coachella Valley. Athens Services covers LA and the San Gabriel Valley. Recology holds the Bay Area and much of Northern California. CR&R handles Orange County and organics across the Inland Empire. Ware Disposal and Gold Coast Disposal serve their own local territories. Add in municipal franchise systems and sanitation authorities that layer on top of all of it, and no two properties in different markets play by quite the same rulebook.

We don't learn a market's rules the first time a client has a property there. We already know them, because we've reviewed, implemented, or proposed savings in San Diego, Orange County, LA, the Central Coast, the Bay Area, Sacramento, Nevada, Arizona, Dallas, Ohio, and Florida. Local property managers, asset managers, and national REIT and property management firms all get the same thing from us: someone who already knows which hauler serves that address and what that hauler needs to see before anything changes.

2. Monthly Oversight Services & Invoice Tracking
Knowing the Rep Isn't the Same as Knowing How to Get an Answer

A property team's contact at a hauler is usually a sales rep, and sales reps are good at signing new accounts, not fixing a billing dispute from eight months ago. Getting that fixed means knowing which desk actually owns overage disputes, which market has a franchise agreement that changes what's even negotiable, and how to phrase a request so it doesn't get routed back to the same queue it came from.

That's the part that doesn't come from a vendor list. It comes from having called that hauler, in that market, on behalf of another client, and knowing exactly who picks up. When a schedule change or a disputed charge needs to move fast, we're not starting from zero. We're starting from a relationship that already exists.

Every client gets that follow-through monthly: emails, calls, and check-ins to initiate a frequency change or challenge an unwarranted charge for credit. We work inside each hauler's portal to track overage and contamination fees, keeping an ongoing dialogue running so nothing sits unresolved.

"It's not the name on the truck that gets you a callback in 24 hours. It's who you know inside, and whether you know how to ask." — Patrick Truninger, Green360 Partners

Field Notes
A Shopping Center, a Franchise Hauler, and a Regional Sanitation Authority

Take a regional shopping center in a mid-size Northern California market. The commercial hauler on the ground operates under that city's exclusive franchise agreement. Disposal runs through a joint powers sanitation authority that oversees the regional landfill and sets the rules the franchise hauler has to follow.

That's three layers most out-of-market vendors never untangle: the hauler doing the pickups, the city franchise governing the contract terms, and the authority setting disposal policy behind it. Get the layer wrong and a request goes nowhere.

We don't figure that out when a client's property shows up there. We already know how that region works, the same way we already know how the Bay Area, Dallas, or Central Florida markets work. That's the difference between a vendor list and an actual relationship.

Field Notes
A Broker on the Books, a Blind Spot on Cost

On some properties, the waste contract isn't managed in-house or by us. It's handled by a broker who deals with the hauler directly, pays the invoices, and reports back one monthly number. That's one less task on the property or asset management team's list. It's also one less place anyone on that team can see what's actually happening with cost and service at the site.

We've reviewed broker arrangements billed as a flat monthly fee, regardless of what the property generates in waste volume that month. When volume drops, the real cost to service that site should drop with it. Under a flat fee, it doesn't. The broker keeps the difference, and the property pays a premium above the hauler's actual charges for the privilege of not looking.

Our model runs the other way. We get paid when we find you savings, not regardless of them. If a broker already sits between your property and the hauler, we'll check the invoices against what's actually being billed and tell you plainly whether that arrangement is still working in your favor.
